The privacy of your personal information is very important to us
here at World Travel Warehouse. The collection, use and disclosure
of any personal information is handled responsibly and we use your
information solely for the purpose of providing you the best
service possible as a client of World Travel Warehouse. We give you
our guarantee that any of your information will be kept private, and
never distributed to any other parties for any other means. Your
information stays with us, so that we can provide you the level of
satisfaction you expect and deserve. We want your travel experience
to meet, or even exceed your expectations. We will strive in every
case to make that a reality. We want you to use our services each
time you travel, and refer us to your friends, so why wouldn't we
give you the same customer service we expect ourselves. The

What is personal
information?
Personal information is information about a person, or individual.
Personal information includes information that relates to their
personal characteristics (e.g. gender, age, income, home address or
phone number, ethnic background, family status), their health (e.g.
health history, health conditions, health services received by them)
or their activities and views (e.g. religion, politics, opinions
expressed by an individual, an opinion or evaluation of an
individual). Personal information is to be contrasted with business
information (e.g. an individual’s business address and telephone
number), which is not protected by privacy legislation. We also
protect each individual’s financial information, such as banking and
credit card information, which clients are required to provide to
World Travel Warehouse for the distinct purpose of guaranteeing
reservations and final payments for travel services rendered.
Who we are?
World Travel Warehouse is a full service agency business. We
coordinate travel products and services for our clients and deal
with a vast group of industry suppliers. At times, depending on your
travel requirements, we organize your travel with particular
suppliers that may, in the course of their duties, require limited
access to your personal information in order to reserve your travel.
These include, but are not limited to airlines, railroads, cruise
lines, tour operators, computer reservations system providers, and
other travel-related vendors. We restrict these companies access to
any personal information we maintain in your file as much as is
reasonably possible. We also have their assurance that they follow
appropriate privacy principles in accordance with their own policies
under the Personal Information Protection and Electronic Documents
Act (PIPEDA).
We collect personal
information for the following purposes (ONLY):
As with every travel agency, we are required to collect, use and
disclose personal information in order to serve our clients. To
serve our clients efficiently, World Travel Warehouse collects
personal information for the following purposes: to initiate and
secure reservations, to issue travel documents and/or travel
vouchers (when applicable), and to provide travel suppliers with
information necessary for finalizing purchasing arrangements for
our client's desired choice of travel/ tourism products and
services. Particular types of personal information we collect for
these purposes include: name, address, telephone, age, credit card
information, passport or visa information, Social Insurance
Number/Social Security Number, web site cookies (when enabled), and
any personal information necessary to properly identify World Travel
Warehouse's clients and their entitlement to the travel products
they have purchased.
Protecting personal
information:
We understand the importance of protecting personal information.
Accordingly, we adhere to the following guidelines respecting your
personal information:
- Hardcopy information is constantly secured in a locked or
restricted area.
- Electronic hardware is constantly secured in a locked or
restricted area at all times. In addition, travel agent personnel
are the only individuals with access to World Travel Warehouse
travel client's data.
- Paper information is transmitted through sealed, addressed
envelopes or boxes by bonded, legal entities insured with the sole
responsibility of transmitting legal documents, such as your travel
documents.
- Electronic information is transmitted through a direct land-line
or, when necessary, encrypted digitized computer software.
- Staff are trained to collect, use and disclose personal
information only as necessary to fulfill their duties and in
accordance with our privacy policy.
- Agencies used by World Travel Warehouse, to secure your travel
arrangements and/or documents must enter into privacy agreements
with our travel agency, or abide by Pipeda.
Retention and
destruction of personal information:
We are required to retain personal information for a minimum of 2
years in order to ensure that World Travel Warehouse complies with
accountability requirements to external regulatory bodies within the
travel trade industry, and to ensure we can respond to any questions
you may pose about your travel services purchased. We refrain from
keeping your personal information any longer than 2 years, as we
have a 2 year time limit within which you must file a formal
complaint about any deficiencies experienced with your travel
services purchased.
If requested by you, our travel client, to remove your contact
information immediately after travel services have been completed,
we will comply with your request and delete your information at the
time of your request. We maintain personal information relating to
our general correspondence with people who are not our clients,
newsletters, seminars and marketing activities for 1 year after
initial contact. All paper documents no longer required to be kept
on file, in compliance with industry regulations are shredded, and
destroyed. All electronic information is deleted and hardware cache
clearing takes place on a regular, monthly basis. Alternatively,
upon request by you, we agree to return any/all of your file to you
at your expense.
You can look at
your information
With only a few exceptions, you have the right to see what personal
information we hold about you. All you have to do is send us a
request. We can help you identify what records we might have about
you. We will also decipher any information that may be unclear to
you at any time (e.g., travel documents, travel jargon, etc.).
Obviously, we will need confirmation of your identity, if we do not
know you, before providing you with this access to information. We
reserve the right to charge a nominal fee for such requests. If
there is a problem, we may ask you to put your request in writing.
If we cannot grant you access to this information, we will notify
you within 30 days as to the reason access has been denied. We may
ask you to provide documentation that indicates our files are
inaccurate, at your expense. Where there is concurrence that an
error has taken place, we commit to amend the problem and notify
any parties who may have been associated with this inaccurate
information. If no error can be determined, we do agree, however,
that documentation from you related to the issue/concern will be
added to your file and we agree to forward that statement to anyone
associated parties who may have been affected by the information.
Your information is never relayed to unauthorized third parties, at
any time.

If you wish to make a formal complaint about our privacy practices,
you may Email it to our Privacy Policy Manager. He will acknowledge
receipt of your complaint, ensure that it is investigated promptly
and provide you with a formal decision and reasons in writing.
For more general inquiries, the Information and Privacy Commissioner
of Canada oversees the administration of the privacy legislation in
the private sector. The Commissioner also acts as a kind of
ombudsman for privacy disputes. The Information and Privacy
